Administrative Assistant to the Artistic Director and CEO
Department: Administration
Reports to: Artistic Director and CEO

Essential Duties and Responsibilities:

  • Assist AD & CEO with gathering accurate information to be submitted to marketing for brochures, press releases and other written communications regarding Cincinnati Ballet performances and season events.
  • Organizer and Secretary of Artistic Board Committee.
  • Provide support at CB productions.
  • Maintain DVD archive of Cincinnati Ballet productions, make copies of DVDs as needed.
  • Organize travel arrangements for AD & CEO to out-of-state conferences and events as needed.
  • Provide administrative support to CEO/Artistic Director.
  • Outlook calendar and email maintenance and travel and coordination for CEO.
  • Logistics coordination and planning of meetings and special functions or events.
  • Typing, word processing, dictaphone, faxing, correspondence.
  • Executive expense and budget reporting to Accounting/Finance Department.
  • Assist in organizing company auditions.
  • Work closely with the Executive Assistant to the Artistic Director and CEO to provide administrative support as needed.

Education & Experience:

  • Outstanding written and verbal communication skills.
  • The ability to concentrate and move easily from one project to another, i.e. the ability to multi-task.
  • Calm and pleasant in all situations, maintaining a sense of humor, regardless of level of stress.
  • Strong administrative skills – including ability to build excel charts, create power point presentations, and be fully familiar with all Microsoft Word functions.
  • Understand tasks that could be done to help the organization run more efficiently and have the confidence to recommend and take initiative.
  • Have a strong respect for diversity and inclusion.
  • A degree in arts administration – a plus.
  • A background in and passion for dance - a plus.

Director of Finance
Department: Finance
Reports to: Managing Director

Essential Duties and Responsibilities:

  • Month end and year end closing:  responsible for posting all related journal entries and transactions into accounting software system, reconciling balance sheet and income statement accounts to ensure accuracy and adherence to budget.  Prepare reports for monthly finance meetings with management staff, finance committee and board.
  • Cash flow management:  monitor and project cash flow by analyzing income and expense trends.
  • Investments/Endowment:  deposit or transfer addition funds to the proper account and segment on fund tracking report.
  • Accounts Payable: manage Accounting Assistant to ensure all invoices are coded properly, entered and paid timely, checking for accuracy. 
  • Payroll and reporting: review payroll prepared by Accounting Assistant who compiles departmental payrolls and time sheets from Academy, wardrobe, company manager, and administrative staff.  Work with TPA to ensure quarterly and annual payroll taxes are filed timely and accurately with the IRSand other taxation departments.
  • 1099 Processing:  compile list from vendor activity and process annual tax forms.
  • Budget preparation and forecasting:  compile budgets submitted by department heads, create budget for administrative and fixed facility costs.  Work with departments on projecting and forecasting year end actual results.
  • Audit and 990 Preparation:  prepare all financial schedules and ensure all accounts are in line with supporting documentation for annual audit by outside professionals.  File 990 after approval by board.
  • Employee benefit administration:  responsible for health, dental, and life insurance programs, which includes working with TPA on 5500 filing, compliance, staff payroll deductions and deposits into plan, dancer’s contractual match, and general administration in 401k database.
  • Assist other departments by providing accurate financial data and reports for grant submissions.
  • Monthly bank account, cash, and credit card activity reconciliations.
  • ArtsWave reporting:  prepare financial section for annual ArtsWave proposal and prepare quarterly reports for ArtsWave finance VP with actual results and annual projections.
  • Land and Building/Vehicle Insurance – Work with broker to understand policies to keep appropriate levels of insurance as well as getting competitive annual bids.
  • IT:  Work with IT Manager and Managing Director on planning hardware, software, and infrastructure costs/projections.
  • Facility maintenance schedules:  coordinate building maintenance with outside professionals - HVAC, plumbing, elevator, landscaping, snow removal, security and fire alarm, exterminators, etc.
  • Other duties and special projects as designated by CEO or Board.

Director of Development
Department: Development
Reports to: Managing Director

Essential Duties & Responsibilities:

  • Lead and manage the key program areas of individual designated/restricted, unrestricted annual fund, corporations, and government, planned giving, special events, and patron services.
  • Coordinate the solicitation effort for major gifts related to special events across all program areas.
  • Play a leading role in expanding major donor fund raising by identifying, cultivating, coordinating solicitation and personally soliciting new major donors.
  • Set specific and measurable performance objectives and goals for program area directors, uphold those objectives in a proactive manner, and carry out annual performance reviews of staff.
  • Proactively communicate plan and all mid-course modifications to the Managing Director and/or CEOand provide weekly updates of status and progress.
  • Direct major cultivation, relationship-building, and entertaining activity of the Managing Director and/or CEOas necessary to carry out major giving strategy.
  • Direct cultivation efforts of key Board members and staff to carry out overall solicitation strategy.
  • Serve as a primary liaison to the Development and Trustees Committees, preparing assignments, agendas, and priorities.
  • Ensure that efficient management systems of the highest standard are in place, including: income and expense reporting, optimal use of database for solicitation, income tracking, research and general data on prospects.
  • Regularly provide income reports and forecasts to Managing Director.
  • Work with Managing Director in establishing budgets.
  • Help coordinate special events.
  • Work closely with Board of Trustees to further grow our endowment.
  • Perform other duties as assigned.

Education & Experience:

  • Bachelor’s degree required and at least 5 years experience working in a major arts institution as a senior development professional.
  • The ability to manage the department’s day-to-day fund raising activity is essential as well as to conceptualize and organize specific initiatives.
  • Total knowledge of state-of-the-art fund raising practices.
  • The ability to articulate a well thought-out plan, with clear goals and objectives and then manage program areas to organize and carry out said plan.
  • This position requires imaginative thinking and a lot of initiative.
  • Excellent written and verbal communication, management ability, and organizational skills.
  • Proficiency in Microsoft Office Suite of products, including Word, Excel, and PowerPoint.

More Information:

The Development Director is the senior position on the development staff devoted exclusively to fundraising and related activities. This position is also a member of the Cincinnati Ballet’s Senior Staff. The Development Director will work, devise and execute the overall strategy for the development effort and will be responsible for leading and managing the program areas of individual designated giving, unrestricted annual fund, corporate giving, foundation and government grants, planned giving, special events, and patron services, as well as providing support for endowment and special project initiatives.

The ideal individual will possess initiative, a collaborative team spirit, excellent written and verbal communications skills, and the ability to handle multiple projects of varying natures simultaneously. Success in this role requires someone who is imaginative, highly self-motivated, and who can work in a self-directed manner. This individual requires an extensive background in fundraising with several years experience working at a senior level in the arts nonprofit sector. Local knowledge is preferred.
